We recognize that there are aspects of our delivery process that may cause a slight inconvenience.  With that in mind, we do stand committed to working with you to minimize any disruptions while ensuring the utmost safety and compliance with industry standards. This article is intended to help our existing and future customers better understand why we require access to tanks and equipment, need gate codes or combinations, and cannot always pinpoint exact delivery times. Why We Need Access to Propane Tanks and Equipment

Having access to your propane tanks and equipment is crucial for maintaining safety and efficiency. We do what we can to keep you, your family, and your home safe. Immediate access allows us to respond quickly in emergencies—ensuring your safety and that of your property. We’re committed to safeguarding your home and loved ones by ensuring that our equipment operates safely and efficiently.

Safe and unimpeded access to your propane tank is crucial for timely and effective delivery.  It also allows our drivers to:

Inspect the tank and surrounding area for any potential safety hazards, such as leaks or obstructions.

Perform routine maintenance and checks to ensure that your system is operating efficiently and safely.

Deliver propane without delays, which is especially critical during peak usage periods or in emergency situations.

Ensuring that paths are clear and gates are accessible, free of locks or blockages, is essential. If your property has a locked gate, we ask that you share your gate code or provide a key to ensure that our delivery team can access the tank even when you’re not home.

 

The Importance of Gate Codes or Combinations

We understand the need to safeguard your property and we appreciate that our tank is also being well taken care of; however, in some cases, it is important for our drivers to have your gate code or lock combinations to maintain accessibility, as needed.

This access helps us to:

Maintain continuous service especially during the colder months when regular deliveries are crucial.

Respond promptly to any service calls or emergency requests.

Protect your property and privacy by ensuring that only authorized personnel can enter.

We realize that sharing your security codes may feel scary, and we empathize with you. Please know that we handle all gate codes and access details with the utmost confidentiality, ensuring that your security is never compromised. We also know that not all scenarios are the same and are willing to work with customers who have special circumstances.

 

Why We Cannot Pinpoint an Exact Delivery Time

Propane delivery schedules can be influenced by many variables that make it challenging to commit to an exact time:

Route efficiency: We plan our delivery routes based on the most efficient sequence to serve many customers in a given area. For the most part, we have scheduled days our propane delivery vehicles are in certain areas and we do our best to keep to a schedule. However, these are also subject to change due emergencies or unplanned extended time spent at an already routed customer’s home or business . For efficient deliveries, it’s also important to have your animals put up or in a safe place away from the gates, road, delivery area, and tank so that our drivers can continue to remain timely with their deliveries.

If you are a regular routed customer and we are in your area on Wednesdays, for example, then we advise you have your animals put away on Wednesdays for a little while, especially if your tank is getting low. OR, give your local office a call to see exactly what day we have you scheduled. 

If you are a will-call customer and have called us to scheduled your delivery, you’ll know exactly what day we will be there and  can put your animals away accordingly.

Traffic conditions: Delays caused by traffic, road work, or weather conditions can affect timing.

Service requirements: Each delivery might require different amounts of time based on tank placement, required maintenance, or inspection needs.

We recognize that some homeowners may want to be home for the delivery and we do our best to make a call, however, it’s not always guaranteed as cell service can be spotty in some of our service areas.

 

Having uninterrupted access to your property through gate codes or combinations is crucial. If our delivery team cannot access a property due to locked gates or blocked entry points, it not only delays your service but can also impact the entire delivery route, affecting many customers. By ensuring that we can access your tank efficiently, you help us maintain our schedule and serve you and your neighbors effectively. Please note, in some circumstances, we may need to implement off-route or return delivery fees if we do not have access upon arrival to your home.
